Who we are

Proper Works builds websites, bots, AI-assisted tools and business automations. For personal data collected through this website and our own sales, project administration and business operations, Proper Works acts as the controller.

For some client projects, Proper Works processes information inside a bot, website or automation on behalf of the client. In those cases the client may be the controller and Proper Works may act as its processor under a separate data-processing agreement.

Information we collect

Depending on how you interact with us, we may collect:

  • name, email address and other contact information;
  • business or project details, budget range and enquiry messages;
  • project communications, files, approvals and support records;
  • billing and transaction records;
  • technical information needed for security, hosting and service operation; and
  • information you choose to provide when using a service we build or operate.

Please do not send passwords, card PINs or unnecessary sensitive personal information through the general project enquiry form.

Where we rely on legitimate interests, we consider whether our business need is proportionate and whether your rights override that interest.

Who we share information with

We may use carefully selected service providers to run our business and deliver projects, including hosting and form providers, email services, cloud storage, payment services, software/API providers and professional advisers.

We share only the information reasonably necessary for the relevant purpose. We may also disclose information where required by law, a court, regulator or competent authority.

International data transfers

Some technology providers may process information outside the UK. Where UK data-protection law requires a safeguard for an international transfer, we will use an appropriate mechanism such as an adequacy regulation, approved contractual protection or another lawful safeguard.

How long we keep information

We keep personal data only for as long as reasonably necessary for the purpose for which it was collected, including contractual, tax, accounting, security and legal requirements.

  • Enquiry records that do not become projects are normally reviewed for deletion after approximately 24 months.
  • Project, contract and transaction records may be retained for up to six years where reasonably required for accounting, contract or legal purposes.
  • Processor data held for a client is retained according to the project instructions and applicable data-processing agreement.

These periods may be shortened or extended where a specific legal, security or dispute-related reason applies.

Marketing and messaging

We do not treat acceptance of service terms as consent to marketing. Where consent is required for electronic marketing, it must be a separate, clear choice and can be withdrawn.

Service messages — such as booking confirmations, support updates or requested information — are handled separately from promotional messages.

Cookies and website technology

The current Proper Works site is designed to work without advertising cookies. Essential hosting, security or form technology may still process limited technical information needed to deliver the site.

If we introduce non-essential analytics, advertising or similar tracking, we will update this notice and use an appropriate consent mechanism where required.

Your data-protection rights

Depending on the circumstances, UK data-protection law may give you rights to access, correct, erase or restrict your information; object to certain processing; receive certain information in a portable format; and withdraw consent where processing is based on consent.

Your right to object: you can object to direct marketing at any time. You may also have a right to object to processing based on legitimate interests, subject to the applicable legal test.

To exercise a right, contact us through the Proper Works contact form and mark the message “Privacy”. We may need to verify your identity before acting on a request.

Complaints and updates

If you have a privacy concern, please contact Proper Works first so we can investigate it. You also have the right to complain to the UK Information Commissioner's Office (ICO).

We may update this Privacy Policy as our services, suppliers or legal obligations change. The latest version and update date will be published on this page.
